"Creating assessment networks for schools"

Schools use a variety of SIS software. The majority use the USOE SIS2000+ software; the next most commonly used is PowerSchool. Two use RenWeb from Texas and several have home grown solutions.

Regardless of which SIS you use to manage the daily student information of attendance, course scheduling, grades, etc, a subset of the data is collected by USOE for longitudinal data analysis and reporting. As of 2005, student information is connected by the State Student Identifier (SSID).

Three times per year SIS data is verified via the Clearinghouse process. After it is clean, it is loaded into the USOE Data Warehouse. Standardized test data is also loaded into the warehouse at different times of the year. A subset of the warehouse data is given to schools on what is currently called the Enhanced Research Disk.

I have the Enhanced Research Disks (Access files) since the 2003-04 school year for all charters that signed a permission slip. I will use this data to generate reports for charters.

  • Warehouse Dictionary - Description of data items in the warehouse
  • Business Rules - Click on "Warehouse Specifications" and then on "Business Rules" to open the most recent set of rules.
  • Enhance Research Disk (ERD) - This Access file is distributed via the secure Move-IT webpage (instructions and a permission request form are in this documentation); the file is located in the Warehouse subfolder. Each time a new version is released, a description of the version is found on the USOE Enhanced Research Disk webpage. This webpage also contains a data dictionary and a diagram of the tables and data items contained in the Access file.
  • How to Analyze the Research Disk with Excel.pdf (Rev 02/13/08)

    Please note the revision at the end of the file; it has a recommendation for dealing with the 2006 data that is included in the 2007 research disk.

  • State Education Research File (SERF) - This Access 2007 file is a super-set of data from the Warehouse. It will be released for the first time in August 2008. More information about this file will be posted as it becomes available. It is in ACCDB file format that can only be opened with Access 2007. Contact me if you do not have this software.
  SIS2000+ Overview

SIS2000+ consists of:

  • FoxPro software that is accessible from a remote terminal server. The system administrator and a limited number of school personnel have access to this software. USOE manages our Foxpro applications for us, whereas standalone districts must do this themselves.
  • Web Portal software that is accessible by students, parents, faculty, and other school personnel. It is used primarily for accessing attendance and grades.

Process for exporting Student Directory information for import into Excel. Once it is in Excel, you can sort, filter, manipulate the data for a variety of uses.

I recommend printing these documents out and compiling a large notebook for reference.

 

There are several types of documentation available from this webpage (clockwise from the top):

  • Quick Guides & User Notes - Many recently documented procedures, including end of year progression.
  • Training Documents - Original documents with exercises to explain modules. Although not updated, about 90% of the information is still accurate and worth reading.
  • Module Details - Very detailed. To print these long documents out, select all the text and then print selection.
  • Web Access to SIS 2000+ - Gradebook and Control Master documents.
